Microsoft Solutions in Toronto & Mississauga
Plan and support Microsoft 365, Teams, SharePoint, Azure and the accounts and devices that connect them. Practical guidance for Toronto and Mississauga businesses.

Microsoft solutions built around how your business works
Microsoft tools touch almost every part of an office: the account a new employee uses, the documents a project team shares, the laptop that leaves the building and the application running on a server. When those pieces are configured separately, staff inherit confusing access, duplicate files and avoidable support calls.
IT Support Hub helps Toronto and Mississauga businesses plan, migrate and support Microsoft environments. We start with the work your team needs to do, review the existing setup and agree on the changes, licences and support arrangements required. Everyday support and larger implementation projects have different scopes, and the proposal should make that distinction clear.
This page is a planning guide to the wider Microsoft environment. For day-to-day Outlook, Teams, SharePoint and account issues, visit Microsoft 365 support. For the wider office environment, explore IT Support Hub’s business IT services.

Start with the outcome you need
- Help staff find the right files and work together without creating conflicting copies.
- Give new employees the right access and remove it reliably when they leave.
- Move email or applications with a clear cutover and recovery plan.
- Manage company devices and protect access from personal devices.
- Understand licence spending, cloud costs and what ongoing support includes.
Which Microsoft solution addresses which problem?
A product name is a starting point. The useful decision is which service fits the problem, how it connects to the rest of the environment and who will operate it after deployment.
| Business need | Relevant tools | What to establish |
|---|---|---|
| Email, calendars and office documents | Microsoft 365, Exchange Online, Outlook and Office apps | Users, mailbox types, desktop-app needs and subscription entitlements. |
| Shared documents and project communication | SharePoint, OneDrive and Teams | Ownership, file structure, external sharing and staff working habits. |
| Account and device protection | Entra ID, Intune and relevant Defender products | Identity controls, device ownership, licences and alert responsibilities. |
| Application hosting and infrastructure | Azure and Windows Server | Compatibility, performance, connectivity, recovery and operating cost. |
| Information governance | Applicable Microsoft Purview capabilities | Data classification, retention requirements and licensed features. |
| Reporting and repeatable workflows | Power BI, Power Automate and Power Apps | Data quality, process ownership, connectors and maintenance. |
| AI-assisted work | Appropriate Microsoft Copilot offerings | Use cases, permissions, data handling and measurable pilot results. |
Availability and scope for specialist security, automation, analytics or AI work are confirmed during assessment. A product appearing here does not mean its licences or implementation are included in every support plan.
Microsoft 365 setup, licensing and ongoing support
Build a reliable tenant foundation
A Microsoft 365 tenant is your organization’s cloud environment. Document its ownership, verified domains, subscription arrangements and administrative access. The business should know who can change billing, manage users and recover access if a provider relationship changes.
A setup review should cover mailbox configuration, authentication, sharing settings, administrator roles, device access and recovery arrangements. Record approved settings and exceptions so future changes have a clear baseline.
Choose licences by role
Start with who needs browser-based apps, desktop applications, business email, device management and additional security controls. Business Basic, Standard and Premium serve different needs, while other subscription families suit different workforce requirements. Check the exact product and entitlement rather than assuming every user needs the same bundle.
Microsoft offers different combinations, including plans with or without Teams and options involving Copilot. Features, eligibility and commercial terms change. Use the current Canadian Microsoft 365 plan comparison when preparing a quote. Confirm commitment term, renewal date, tax, add-ons and cancellation conditions before purchase.
Support the work people actually do
Common requests include Outlook profile problems, mobile email setup, shared calendars, distribution groups, shared mailboxes, OneDrive sync and Teams access. Good support also records recurring causes, such as an outdated client or an unclear folder structure, so the same problem does not keep returning. Our Microsoft 365 support page explains the existing service and project framework.
SharePoint, OneDrive and Teams with clear ownership
Put files in the right place
Use an agreed information structure before moving a large file share. Individual working documents and shared departmental records have different ownership needs. Team content should remain accessible to the business when a person changes roles or leaves.
A SharePoint design should identify sites, libraries, owners, permission groups and sharing rules. Decide how staff will find documents, which information needs a controlled location and whether metadata will help more than another level of folders. Review duplicates, obsolete content and sensitive material before transferring everything.
Make Teams easier to use
Define when to create a Team, when to use a channel and who is responsible for reviewing membership. Agree on guest access and how completed projects will be archived. Teams channel files connect to SharePoint, so changes to collaboration need to account for the underlying file permissions.
For meetings, test the devices, network conditions and room setup that staff will use. If business telephony is part of the project, assess calling, number porting, licensing and emergency-calling requirements separately. See business phone systems for that discussion.
A practical acceptance test
Ask a staff member to locate a project file, edit it with a colleague, share it with an approved guest and remove that guest’s access. Repeat the test with someone who should not have access. This checks usability and permissions together.
SharePoint is not a direct destination for every application that expects a traditional network drive. Check specialist software, large working files, synchronization behaviour and integrations before retiring a file server.
Entra ID and Intune: manage accounts and devices together
Identity and sign-in
Microsoft Entra ID provides cloud identity and access capabilities. An assessment should review multi-factor authentication, administrator access, application assignments and the relationship with any existing Active Directory environment. Cloud identity and an on-premises domain are different components; moving one does not automatically remove the need for the other.
Conditional Access can apply access decisions using relevant signals, subject to licensing and configuration. Policy design needs a pilot, recovery access and checks for applications that may behave differently. A policy that blocks the wrong users can interrupt the business as effectively as a technical failure.
Device and application management
Microsoft Intune supports management of devices and work applications. Device enrollment and application protection serve different purposes, especially when staff use personal phones or computers. Select the approach according to ownership, supported platforms and the information being accessed.
A device-management project should define supported operating systems, enrollment, application deployment, updates, encryption requirements and the process for lost or retired equipment. Test with representative users before rolling policies out across the business.
Joiners, role changes and leavers
- Record the manager’s approval and the access needed for each job role.
- Prepare the account, licence, device and first-day sign-in instructions.
- Review permissions when staff change roles rather than continually adding access.
- When someone leaves, block access promptly and handle business data according to the agreed retention and handover process.
- Remove unneeded licences only after checking dependencies and data requirements.
Security, information governance and recovery
Give security controls an operational owner
Defender is a family of products with different purposes and licensing requirements. A proposal should identify which endpoint, email or other protections are included, how alerts are reviewed and who can respond. Enabling a feature does not establish a complete monitoring or incident-response service.
Review protection alongside the everyday environment: administrator privileges, device updates, external sharing, application consent and recovery accounts. Agree how urgent incidents are escalated and where the business can find the response contacts. See cybersecurity services for the broader support scope.
Retention, recovery and backup solve different needs
Retention rules govern how information is kept. Recycle bins, version history and recovery tools help with particular recovery scenarios. A backup arrangement has its own coverage, retention and restoration process. Document which workload is protected and what a restore would involve rather than relying on a general statement that the cloud is backed up.
IT Support Hub’s managed-plan description includes Microsoft 365 backup. Confirm the specific workloads, retention and recovery arrangements in your agreement. Azure, servers and local files need their own defined coverage. Visit backup and disaster recovery for those requirements.
Information governance
Where sensitivity labels, retention policies or data-loss prevention are needed, begin with the information the business holds and the rules it must follow. Applicable Microsoft Purview features can support a design, but their availability depends on the subscription and workload. Agree the policy with the business owner, pilot its effect and review exceptions. Software settings alone do not establish regulatory compliance.
Azure, Windows Server and hybrid environments
Cloud infrastructure should be selected around the application and its users. Assess where the workload runs today, what it connects to, how quickly it must respond and what happens if the office loses internet access.
Application hosting and cloud design
An Azure project may involve a virtual machine, storage or a more managed application service. The decision affects administration, compatibility, resilience and cost. Document identity, network connectivity, access controls, monitoring and backup as part of the design.
Define who manages the guest operating system, application updates, certificates and security alerts. Microsoft operating the underlying cloud platform does not mean every part of a hosted application is managed for you.
Control ongoing costs
Estimate compute, disks, storage, network traffic, backup and supporting services. Record the assumptions behind the estimate and review actual use after deployment. Budget alerts help identify spending changes; do not assume an alert automatically stops resources or prevents additional charges.
If location matters, verify the region availability and data-handling commitments for each chosen service and its backups. An application’s complete data path may include more than its main server.

Keep local dependencies in view
Some organizations need a hybrid setup because of specialist software, office equipment or existing identity services. Plan the local and cloud components together. Our server support services cover the surrounding assessment and support discussion; network and firewall support addresses connectivity dependencies.
Microsoft migrations with a documented cutover
Moving email, files or applications changes how staff work. Define the source, destination and expected user experience before choosing a transfer tool. A Google Workspace move, an Exchange migration and a tenant-to-tenant project can have different limits and sequencing.

- Discover: inventory users, shared mailboxes, calendars, groups, files, applications and external connections.
- Design: agree on the destination structure, licences, identity, access and retention requirements.
- Prepare: establish recovery arrangements, validate access and record the communication and cutover plan.
- Pilot: test representative users and data, including special permissions and business-critical workflows.
- Transfer and switch: complete the agreed synchronization, domain or connection changes and client setup.
- Validate: check mail flow, shared resources, application access and recovery coverage with business owners.
- Hand over: provide support instructions, open issues and a decision on retiring the old environment.
The migration schedule depends on data, transfer limits, application dependencies, access and the testing required. A weekend cutover is suitable only when preparation and testing support it. Staff should know what will stop working temporarily and how to get help.
For infrastructure moves, use our server migration and replacement overview. For email and file projects, see Microsoft 365 migration support.
Power Platform and Copilot: begin with a controlled use case
Automation and reporting opportunities
Power Automate, Power Apps and Power BI can support workflows, business applications and reporting. Start with a specific problem: an approval that gets lost, information copied between systems or a report that takes too long to prepare. Define the data source, decision owner and expected result before choosing a tool.
A planning review should address connector licensing, data access, error handling, testing and support ownership. A flow tied to one employee’s account may fail when that person leaves. An attractive dashboard may still be misleading if the underlying definitions or data are wrong.
Microsoft’s Power Platform data policies provide controls over connector use. Include environment and connector governance when evaluating a workflow. Custom development, specialist analytics and third-party integrations require a separately confirmed scope and delivery arrangement.
Prepare for Copilot before a wider rollout
Choose a small group and practical tasks, such as preparing an internal summary or drafting a first version of a document. Confirm the exact Copilot product, eligibility, licensing, data sources and organizational policies. Different offerings and connected agents can have different capabilities and requirements.
Microsoft documents that Copilot respects existing access permissions. That makes permission review important: information shared too broadly may become easier for authorized users to discover. Review sensitive content and unnecessary access before expanding use.
Require people to check important outputs against the source. Measure the pilot using task completion time, correction effort and quality, rather than assuming a fixed productivity gain. Confirm readiness-assessment, training and implementation scope before treating AI work as part of an existing support agreement.
What a Microsoft solutions engagement should deliver
Assessment and priorities
The first output should explain the current environment, recurring problems and the highest-priority gaps. Group the findings into immediate fixes, planned improvements and decisions that need business input. Include dependencies so a licence change is not proposed without the configuration needed to benefit from it.
A proposal you can review
- Objectives, included systems and excluded work.
- Required licences, hardware, access and vendor participation.
- Implementation steps, maintenance windows and recovery options.
- Who approves changes and who tests the result.
- Documentation, training and ongoing support responsibilities.
- Project charges, recurring costs and commercial assumptions.
Pilot, rollout and handover
Test with a small representative group, resolve issues and expand in agreed stages. Give staff concise instructions for the tasks that change. The handover should include configuration records, ownership, escalation contacts and outstanding issues.
Review measurable results
Useful review measures include recurring support incidents, inactive licences, onboarding completion, device-policy coverage, backup restore results and cloud spending against the estimate. Select measures that match the project and establish a baseline before claiming improvement.
If you already have an IT team, define the division of responsibilities through co-managed IT support. For longer-term planning, see IT consulting and vCIO services.
Understand support, project and subscription costs
| Category | How to scope it |
|---|---|
| Everyday Microsoft 365 support | Handled under the applicable managed agreement; hourly support can be discussed separately. |
| Migration, SharePoint build or Azure implementation | A defined project with an agreed quote, responsibilities and acceptance criteria. |
| Microsoft subscriptions and add-ons | Licence entitlements and commercial terms confirmed separately from support labour. |
| Azure consumption | Ongoing usage charges based on the resources and services deployed. |
| Specialist automation, analytics or AI work | Feasibility, delivery capability, licences and ongoing ownership confirmed before commitment. |
Start with the number of users, existing subscriptions, locations and the problem to solve. A useful quote should show one-time charges and ongoing costs separately. Visit IT support pricing for the managed-plan framework.
Microsoft solutions for Toronto and Mississauga
IT Support Hub supports GTA offices with remote assistance and on-site work where the agreed project requires it. A Toronto professional-services team may need controlled client collaboration; a Mississauga business may need to account for warehouse devices, shared workstations and vendor-maintained applications. Those working conditions should shape the plan.

Questions people ask
What is included in Microsoft solutions?
The scope can involve Microsoft 365, collaboration, identity, devices, cloud infrastructure and migration planning. Routine support, implementation projects and specialist work are defined separately so the proposal identifies what is included.
How is this different from Microsoft 365 support?
Microsoft 365 support handles everyday account, email, application and collaboration issues. A wider solutions engagement considers architecture, security, devices, migration, cloud costs and the processes needed to operate the environment.
Can we keep our existing Microsoft 365 tenant?
Often the existing tenant can be reviewed and improved. A new tenant or tenant-to-tenant move should have a specific business reason. Ownership, access, domains, subscriptions and dependencies are checked before recommending a change.
Which Microsoft 365 licence should each employee have?
Choose according to desktop-app needs, email, collaboration, device management and security requirements. Confirm exact entitlements, Teams and Copilot options, user eligibility and commercial terms against the current offering.
Can you move email from Google Workspace or Exchange?
Microsoft 365 migration projects can be assessed from those environments. Scope depends on users, mailbox types, data, calendars, permissions and the destination. The project plan identifies supported transfers, timing and acceptance checks.
Can SharePoint replace our office file server?
It can suit many shared-document workflows, but not every application or file type. Review permissions, synchronization, specialist software and staff working habits before choosing a destination.
Are Intune and Entra ID the same thing?
No. Entra ID handles cloud identity and access. Intune manages supported devices and work applications. They can work together, but each has its own configuration and licensing considerations.
Is Azure always cheaper than a local server?
No. Compare the workload, connectivity, administration, backup and ongoing usage costs. The right choice may be local infrastructure, Azure or a combination.
Does Microsoft 365 remove the need for backup planning?
No. Document the recovery coverage, retention and restoration process for each workload. Built-in recovery features and a backup arrangement have different scopes. Confirm the specific Microsoft 365 backup coverage in your support agreement.
Should we buy Copilot before reviewing file permissions?
Review access and data handling as part of readiness. Copilot respects existing permissions, so information shared too broadly can be easier for users to find. Start with a controlled pilot and assess results before wider deployment.
Can you work with our internal IT team?
Yes. Co-managed support can define which responsibilities remain with your team and which are assigned to IT Support Hub. Agree access, escalation, change approval and documentation requirements.
Do Microsoft solutions include licences and Azure usage?
Those costs are identified separately from implementation and support labour. The proposal should show subscriptions, add-ons, cloud consumption and one-time project charges.
