Business phone systems

Your phones, looked after by the team that runs the rest of your IT

We set up and support hosted VoIP and Microsoft Teams Phone for GTA offices. When calls drop or sound choppy, the cause is often the network, the internet line or a Microsoft 365 setting, and we already look after those.

With phones on the same team, you make one call to report a problem, whichever part is at fault.

Plenty of telecom companies sell business phone systems in Toronto. We are an IT support company that also handles phones, and this service suits offices that would rather keep phones with the same people who run their IT.

Both kinds of system we support run over your internet connection, so there is no phone switch in a cupboard to maintain. Extensions, voicemail and call routing are set up in software, so changes such as a new extension or a holiday greeting can usually be made remotely.

Hosted VoIP or Teams Phone

Hosted VoIP gives you desk phones and a phone app from a voice provider, which suits offices with a reception desk, shared lines or staff who prefer a handset. Teams Phone puts calling inside Microsoft Teams, which suits offices already living in Microsoft 365. We support both, and help you pick based on how your staff actually take calls.

Hosted VoIP tends to fit when

  • Reception answers and transfers most calls
  • People want a physical desk phone
  • Some staff do not use Teams much, or at all

Teams Phone tends to fit when

  • Staff already work in Teams all day
  • Most people take calls on a laptop headset or their mobile
  • You want calling managed in the same admin centre as your Microsoft 365 accounts

Teams Phone usually needs an extra Microsoft licence, plus a calling plan or a connection to a voice provider for outside calls. We check what you already pay for before recommending anything. The Microsoft 365 page covers the rest of the Teams and licensing side.

What setting up a phone system involves

A phone system project covers choosing the system, moving your existing numbers to it, setting up extensions, call groups, voicemail and after-hours routing, and checking that your network can carry voice cleanly. Each project gets a fixed quote agreed before work starts, and the timing of the number transfer is agreed with you in advance.

Keeping your existing numbers is normally possible. Moving a number from one provider to another is called porting, and the providers set the date it happens, so we plan the switch around that date.

Voice is fussier than email about network quality. A connection that is fine for web browsing can still make calls choppy if the firewall or Wi-Fi is not set up to give voice priority. Because we look after networks and firewalls as well, we check that side before the phones go live.

What the managed plan covers and what is billed separately

If you are on our managed plan, help with your phone system goes through the same unlimited remote help desk as everything else, and on-site visits across the GTA are included.

The phone service itself, the licences and the handsets are billed separately, and setting up a new system is a fixed-quote project.

Phone work or item How it is billed
Help with phone problems: a dropped call, a handset that will not register, a missing voicemail Included in the managed plan (remote help desk)
A technician on-site to look at phones or the network behind them Included in the managed plan (on-site visits across the GTA)
Monthly charges from the voice provider, and Teams Phone licences or calling plans Billed separately
Desk phones and headsets Quoted before you buy, billed separately
Choosing and setting up a new phone system, including moving your numbers Fixed quote agreed before work starts

Offices without a managed plan can still have us set up a phone system as a fixed-quote project, and call us for support by the hour afterwards. The rest of the plan is set out on the managed IT services page.

Questions people ask

Should we choose hosted VoIP or Teams Phone?

It depends on how your staff take calls. Hosted VoIP suits offices with a reception desk and people who want desk phones. Teams Phone suits offices that already work in Microsoft Teams all day and take calls on headsets or mobiles. We check what you already pay for in Microsoft 365 before recommending either.

Can we keep our existing phone numbers?

Normally, yes. Moving a number between providers is called porting, and the providers set the date it happens, so we plan the switch around that date. Tell us early about any number you cannot afford to lose, such as a main line printed on signs, vehicles or business cards, so it is checked first.

Why do VoIP calls sound choppy?

Usually the network. Voice needs a steady connection, and a busy internet line, a firewall that does not give calls priority or weak Wi-Fi can break calls up even when web browsing feels fine. Because we support networks and firewalls as well as phones, we check both sides instead of blaming one.

Do we pay extra for phone support on the managed plan?

Help with phone problems goes through the same unlimited remote help desk as the rest of your IT, and on-site visits across the GTA are included. The voice provider's monthly charges, Teams Phone licences and handsets are billed separately, and setting up a new phone system is a fixed-quote project.
