Microsoft 365, SharePoint and Azure

Day-to-day Microsoft 365 support

Most office IT problems now live inside Microsoft 365: a mailbox that stopped syncing, a shared calendar nobody can edit, a new hire with no licence, a SharePoint folder that vanished. Our help desk takes these calls. The managed plan covers unlimited remote help with Microsoft 365, and hourly support is available if you are not on a plan.

Typical calls include Outlook profiles and phone setup, shared mailboxes and distribution lists, OneDrive sync errors, Teams meetings and channels, password resets, and adding or removing staff. When someone leaves, we can pass their mailbox and files to the right person before the account is closed.

Licensing

Microsoft 365 Business Basic, Business Standard and Business Premium cover offices of up to 300 users. Basic is web and mobile apps with email and Teams. Standard adds the desktop Office apps. Premium adds device management and stronger sign-in and security controls. We check what each person actually uses, buy the licences you need, and remove the ones nobody uses.

Moving your email and files to Microsoft 365

A Microsoft 365 migration moves mailboxes, calendars, contacts and shared files from your old system into a Microsoft 365 tenant. We count the mailboxes, shared mailboxes and data first, then give you one fixed quote.

Most office moves are planned so staff finish on the old system on Friday and start on the new one on Monday.

The usual starting points are an Exchange server in your office, Google Workspace, email from a web host, or another Microsoft 365 tenant after a merger or a split. If your Exchange server is 2016 or 2019, it is already out of support, and our server and Exchange page explains your options.

What a typical move looks like

  • Before the weekend: mailboxes are created and older email is copied across in the background while staff keep working.
  • At cutover: your domain’s mail records are switched so new email lands in Microsoft 365, and the last messages are copied over.
  • On Monday: Outlook and phones are pointed at the new mailboxes, and a technician is available for the questions that come up.

Shared mailboxes, room calendars and mailbox permissions are where migrations go wrong, so we list them before anything moves. Old file shares can move in the same project or later, once the email is settled.

SharePoint and Teams that people can find things in

SharePoint is where a company’s shared files should live in Microsoft 365, and every Team in Teams stores its files on a SharePoint site. Trouble starts when sites and Teams multiply without a plan. We set up a small, clear structure, with folders and permissions that match how your departments actually work.

A common project is retiring the office file server. The mapped S: drive becomes a few SharePoint libraries, permissions are set for each department, and staff open the same files from the office, from home or from a phone. Personal working files go to each person’s OneDrive.

In Teams, we help you decide which conversations belong in channels and which in chats, set up guest access for clients and contractors with care, and clean up Teams that were created and forgotten. If you want your phone system inside Teams as well, see business phone systems.

Azure and cloud projects

Azure is Microsoft’s cloud for running servers and services outside your office. For most GTA businesses it means one of three things: sign-in and device management through Microsoft Entra ID, a line-of-business application moved off an ageing server, or a cloud copy of data. Each is scoped and quoted as a fixed project.

Azure has two Canadian regions, Canada Central in Toronto and Canada East in Quebec City, so workloads we build can be placed in Canada when that matters to you or your clients.

Azure is billed by usage, so the monthly cost depends on what runs and for how long. We size it before you commit, show you what the bill should look like, and keep usage tidy afterwards.

Azure charges are billed separately from your support. Sometimes the honest answer is that a small server in your office costs less, and we will say so.

Why Microsoft 365 data still needs its own backup

Microsoft keeps Microsoft 365 running, but recovering deleted or damaged data is mostly your job. Deleted items stay recoverable only for a limited time, and a hacked account or a sync error can remove a lot at once.

A separate backup keeps its own copies, independent of those deletion windows. Our managed plan includes Microsoft 365 backup.

By default, email emptied from the Deleted Items folder can be recovered for 14 days, and deleted SharePoint and OneDrive files sit in the recycle bins for up to 93 days. After that they are gone. That is fine for a file deleted this morning, and no help when someone notices the loss months later.

Ransomware on a laptop can also sync encrypted copies of files into OneDrive. With a separate backup, the clean versions can be restored from a copy taken before the infection. Servers and local files are covered on backup and disaster recovery.

Microsoft 365 projects quoted up front

Bigger Microsoft 365 work is quoted as a fixed project, agreed before anything changes. The quote lists what moves, what gets set up and what staff will notice. Licences and Azure usage are billed separately from the project. Monthly plan prices are on the pricing page.

Questions people ask

Do I still need a backup after moving to Microsoft 365?

Yes. Microsoft keeps the service running, but email emptied from Deleted Items is recoverable for only 14 days by default and SharePoint and OneDrive recycle bins hold files for up to 93 days. A separate backup keeps its own copies, so recovery does not rest on those windows alone. Microsoft 365 backup is included in our managed plan.

How long does a Microsoft 365 migration take?

It depends on the number of mailboxes, how much data there is and where it is coming from. Older email is copied in the background first, so the disruptive part is usually a single weekend cutover. You get a schedule with the fixed quote, before any work starts.

How is a Microsoft 365 migration priced?

We count your mailboxes, shared mailboxes, file shares and any special cases, then give you one fixed price agreed before work starts. Microsoft 365 licences are billed separately. If you move onto our managed plan afterwards, day-to-day Microsoft 365 support is included in the monthly per-user price.

Which Microsoft 365 plan does my business need?

Business Basic suits staff who work in a browser and on phones. Business Standard adds the desktop Office apps. Business Premium adds device management and stronger security controls. All three cover up to 300 users. We look at what each person actually uses before recommending a mix.

Can you move our file server to SharePoint?

Yes. Mapped drives are replaced with a small number of SharePoint libraries organized by department, with permissions set by group. Personal working files go to OneDrive. We plan the folder structure with you before anything moves, and quote the project as a fixed price.
